1. Two kinds of data
Account data is the information you give us to run your subscription: name, email address, workspace details and billing history. We decide how this data is processed in order to provide and bill the service.
Workspace data is what your business enters into the product — customers, invoices, stock, payroll and the rest. Your business owns this data and controls it; we process it only on your behalf, to operate the service you configured.
2. What we collect
We collect the information you provide when registering and using the service, records of payments and subscription changes, support conversations, and technical logs (such as sign-in events and errors) needed to keep the service secure and working.
3. Payment information
Card payments are entered with and processed by licensed payment providers. LynkOffice receives confirmation of the payment and its reference — not your full card number. Bank-transfer notifications you submit (amount, reference, receipt) are kept as part of your billing history.
4. How we use information
We use information to provide and improve the service, process subscriptions, respond to support requests, protect the service and its customers from abuse, and meet legal obligations. We do not sell personal data, and we do not use your workspace data for advertising.
5. How data is protected
Access to workspace data is governed by role-based permissions that the workspace owner controls. Sensitive credentials (such as integration keys) are encrypted at rest. Administrative changes are recorded in a tamper-evident activity log. Full workspace backup exports are designed to include tenant-scoped records, with automated coverage checks before each release.
6. When information is shared
We share information with service providers only where needed to run the service — payment providers to process a payment, and messaging providers to deliver notifications your workspace configures (such as SMS or WhatsApp reminders to your customers). We may disclose information where the law requires it.
If your workspace enables an external AI provider, authorised prompts and the data needed to answer them are sent to the provider selected by your workspace, subject to the configured AI data-egress controls. Signed-in Insights and Support conversations are stored in the workspace and remain visible only to their owner.
7. Retention, export and deletion
Workspace data is retained while your account exists so that you can return to it, including after a subscription lapses. Some data classes, such as activity logs, notifications and deleted records, may be removed sooner under the workspace’s configured retention policy, and AI conversations you delete are permanently purged after a retention period. While your account is active you can export your records in full. You may request deletion of your workspace; we will delete it except where the law requires retention (for example, billing records).
8. Your rights and contact
You may ask what personal data we hold about you, correct it, or request its deletion, subject to legal retention duties. Requests and questions about this policy go to the support address on the contact page. Material changes to this policy will be announced on this page with a new revision date.
